Scheduling Appointments

We cannot accommodate the switching of care providers at South Hill and ask that you book an appointment with the provider you have been assigned to whenever possible. If you have not been assigned a doctor or nurse practitioner, please book an appointment under the heading "If you don't have an assigned provider."

YOU MUST HAVE A CANADIAN PHONE NUMBER FOR THE DOCTOR OR NP TO CALL YOU.

If you book an appointment with an out-of-country phone number, your appointment will be canceled.

There are several ways to make an appointment.

We encourage our patients to self-book online or email us to book an appointment. The phone lines are very busy and hard to get through. Please note that we are not a walk-in clinic, and we can only see patients who are registered with us.

For same-day urgent appointments, please book online or email us with the patient's name and reason for the appointment. Urgent appointments will be booked on a first come/first serve basis, and you cannot specify a time that day. We cannot guarantee that you will be seen on the same day, but we try very hard to book everyone. If you email us, please note that we will email you back with a same-day appointment time, and it will be considered confirmed. You must email us back immediately if you wish to cancel. We cannot reschedule the time and will not call you to confirm.

IMPORTANT: PHONE APPOINTMENTS

Please be available for your phone appointment 10 minutes before and 30 minutes after your scheduled time. Please change your phone setting to accept calls from unknown callers, as our doctors and NP often call with no caller ID if they are calling from outside the clinic. Also, please ensure that your phone ringtone is turned on.

Late arrivals and missed appointments

We respect our patients' time and always do our very best to keep our clinic running on schedule. We know your time is important, and we don’t like to keep you waiting. To keep our clinic running smoothly, we ask that you be available by phone or arrive on time for your scheduled appointment.

We will try to address as many concerns as we can safely and appropriately manage in one appointment. If you have a number of issues to review, we may have to prioritize them and book another appointment to address them all.

If you arrive late, your visit will need to be cut short. Provided that the doctor you are seeing has time, you may be given a 5-minute squeeze-in appointment. If you arrive more than 10 minutes late, you will need to reschedule.

If you are coming for a well-baby/vaccine visit, please arrive 15 minutes early to get your child’s growth measurements done in time to review with the doctor or nurse practitioner.

If you are coming for an IUD insertion, a complete physical exam, or prenatal checkup, please arrive 10 minutes early to do some testing before your appointment starts.

We require 24 hours cancellation notice for all appointments.

If you do not call to cancel your appointment within 24 hours or do not show up for your booked appointment, you may be charged a cancellation fee. If you book an appointment that requires 30 minutes or longer, you will be charged a cancellation fee.
